The solution

DLM's drivers' log audit and management program drives on high efficiency, objective and cost saving program. The program is unique and highly recommended by our clients, not just because our services are cheaper but more efficient. Several of our clients enjoy our 24 x 7 support for which they pay marginally higher, which even then is cheaper than most of our competitors. Our process cycle is reduced to half compared to others simply because our process centers accept input data in virtually any format. Every step is taken to ensure that your carrier safety rating is not downgraded. Our resources section can educate you with all relevant links and reading materials to keep you updated. As you must have noticed over a period of time even driver's daily log sheets (both computer generated and manually filled) have moved towards standardization for a simple reason that they are required to be captured and audited. Every log must adhere to standard requirements and filled accordingly. Following information are to be filled in by the driver which is mandatory:

  1. Date
  2. Driver's ID
  3. Carrier name and address
  4. Miles driver on the log duration
  5. Truck / tractor and trailer number
  6. Driver's authorization to the log (signature)Office address
  7. Manifest - shipping details (commodity, etc.,)
  8. Summary of number of hours in each time graph item
  9. Remarks if any
  10. Time graph appropriately drawn

Our audits are unbiased and objective. Though we do not require any assistance from your company, we highly recommend your close association with your client account manager who is your single point of contact. Your audited data along with input information including scanned image (wherever applicable) are available all the time through our fail proof dedicated hosted servers. All your information are hosted for your access for 180 days or even more if you require.



Audit methodology

We highly recommend you and encourage you to send in driver job application form from your employee folder as a scanned copy or a hard copy which we will scan. The application form is scanned and stored in the database for your instant access whenever required. In addition, we will also provide you the scanned copy of the application form which will be available for you to access all the time through a secured login.

On receiving the first package a user account is created for you on our portal where you will be able to access all reports that you need along with scanned images of driver logs. You will be further able to create logins for your drivers if you wish them to access their own log information. Alternatively, if you wish we can create their logins of whom user name and password will be available on your login area for you to further distribute.

We receive your scanned images of driver logs through our FTP (a dedicated account will be provided for you) or EMAIL (we will setup a dedicated email where you can send scanned images). Images received will be organized and stored at a location from where our report systems would fetch them for you. Every image is renamed with a unique identity for traceability.

Alternatively, if you wish to send paper copies of driver logs feel free to do so. We will provide you with an address of one of our nearest scan centers where the logs will be scanned and sent to us without any additional cost to you.

Every single image then sent through data capture work flow management system where we use a combination optical character recognition and manual data entry. Knowing scanned logs and OCR capabilities we do not fully rely on machine output. Every single image is then converted to a single record and the entire process of this conversion involves several rounds of image view by different data capture experts.

Further logs are automatically audited for general rules and cross checked with fuel receipts, gaps information or any other information with which driver location at a specific time or all locations are to be verified. Since, auto-audit is an objective process there could be several violations as for example GPS location may not exactly match with location written on the log by driver. All violations are then manually checked and confirmed if true. In addition, your point of contact also will call you with summary violations to re-confirm with you.

After all these steps reports are hosted on your login area of the portal by a push of a button which will be available to you for 180 days or more as you need them.
